Can't Open PDFs Protected by Microsoft Purview Information Protection

Post by mykel.pamperin@fnf.com »

When we receive PDFs that are protected by Microsoft's Purview Information Protection, we get a popup that says, "This file is protected by Microsoft Purview Information Protection. Please enter your email." We use M365 for our email, but we don't use Purview. If we enter our email address, we then get a popup stating "Approval Required" with a button to request approval, followed by a popup that says the request has been sent and our admin notified. Any idea how we resolve this issue? These are documents we receive from customers, not documents that we are trying to protect with Purview IP. And, we can open these PDFs fine without prompts when we view them in Edge and other PDF applications like FoxIt. We just can't open them with PDF-Xchange.

Hi,

There was a similar question about this in the past:
viewtopic.php?t=40497

It seems like support for the additional Microsoft "Purview" capabilities has become available in PDF-XChange Editor v10.4.0, build 388: viewtopic.php?t=43747

So, can you please verify your current version of PDF-XChange Editor, via the Help-ribbon > About ?

Maybe you will have to upgrade ...

Note : Myself, I have no experience with Azure Purview, so please forgive me if I am wrong here.

Kind regards.

Hello, Willy

If they are making it far enough to see this message, they must be running one of the builds which supports Purview. Otherwise it would work like MS Edge, and likely open the file without any prompt, but ignore (and possible delete) the purview tags from the file.

This message specifically, most likely indicates that your Purview environment is not configured to allow our software access to your files. Your system admin may need to reconfigure the correct options in the tenant.
This article in our sysadmin manual, and the links to official Microsoft articles therein, may help:

Daniel:

We are running version 10.6.0 of PDF-XChange Reader Plus which supports Purview. However, I'm a bit confused regarding your reply. I read through the section on Microsoft Purview Options in the sysadmin manual prior to making my post, but the steps are for creators of Microsoft Purview PDFs, not recipients. Again, we are not trying to create our own Microsoft protected PDFs with Purview, only trying to open PDFs that have been sent to us by customers. We've never used Purview in our operation. Are you saying we still need to make changes to our MS tenant to allow PDF-XChange to open these PDFs?

Hello, mykel.pamperin

That is correct, even as a recipient, you would still need to configure your tenant in order to make use of Purview functionality. Purview is at its core being a service that is managed by Microsoft, and so you do need to have things configured so that you have the capacity to log in and see/access those tags. This involves granting your tenant the ability to communicate with our software, and allow it to make those changes in the same capacity.

This is beyond anything that we can offer as a workaround, your Tenant must be configured to allow our Editor access, regardless of whether you are Creating, Editing, or only Viewing, any "Microsoft Purview Information Protected" files.

If it was possible to view these items without the correct security configuration on the recipient's end, that would somewhat defeat the purpose of configuring the system in the first place.
